AAMC Training Terms & Conditions

All enrolments are subject to these terms and conditions. Occasionally our terms & conditions will change, please remain updated throughout your enrolment. 

Unique Student Identifier (USI)

For all Australian citizens and residents undertaking an Australian Qualification courses, you are required under the national AQF standards to provide your USI Number prior to commencing a qualification. If you do not have a USI number, you may apply for one through AAMC Training at enrolment or via the www.usi.gov.au website.

Recognition of Prior Learning (RPL)

RPL is an assessment process that evaluates the competency of an individual that may have been acquired through formal, non-formal and informal learning, to determine the extent to which that individual meets the requirements specified in the training package or VET accredited courses.

You must complete a pre-qualification form to establish whether you are eligible to enter this pathway. You will be informed in writing of the RPL application outcome within three business days. Where RPL is not granted for any unit of competency, the written notification will include the reason for the decision.

The RPL pathway consists of providing a combination of evidence including:

  • Third party testimonials
  • Workplace documents
  • Assessor interview
  • Gap training and/or assessment (if necessary) 
  • Interview with an AAMC Training qualified assessor (to be conducted virtually via Zoom/Teams.)*

The RPL Assessment decision will comply with the Principles of Assessment and Rules of Evidence and ensure it is consistent with, and maintain the integrity of, the training product requirements.

Gap training and/or assessment may be required where you cannot provide supporting evidence to satisfy all competency requirements.

*Interview booking cancellation: Failure to notify the assessor of non-attendance 24 hours prior to the agreed interview time will incur a re-booking fee, payable prior to another booking being made.

Credit transfer

AAMC Training Group recognises equivalent units of competency within Qualifications and Statements of Attainments issued by other Registered Training Organisations.  Credit transfers are granted when the validity and authenticity of a USI VET transcript, testamur (including a record of results) or Statement of Attainment is confirmed via directly accessing the USI transcript service or by contacting the issuing organisation. Certified copies are no longer deemed acceptable forms of evidence as per the ASQA standards.

Equivalence may be determined by the following:

  • A unit of competency with the current unit code and title
  • A superseded unit of competency that the training package developer has determined to be equivalent (as published on the National Register)

NOTE: AAMC Training Group may conduct a mapping analysis where units have been superseded equivalent twice or more to assure the relevance of the competency assessment. Credit transfer may be refused in the case of a gap in either the training or assessment.

No qualifications or Statements of Attainment will be issued via credit transfer based on training wholly completed through RPL or credit transfer at a different RTO.

Course delivery method

AAMC Training delivers courses online and through virtual interactive classroom training. Face to face workshops for groups are available upon request.

Course duration / completion period

Qualification and Tier 2 courses: Course enrolments are valid for a period of between 6 and 12 months (excluding Traineeships).

Accreditation (TPB) courses: Enrolments are valid for a period of 6 months. Refer to your course confirmation email for your specific course period.

The commencement date of your course is deemed to be acknowledged and accepted by you that the course period has commenced.
During your course, AAMC Training provides regular email reminders of course expiry.

In the instance where a course is superseded by the industry regulator prior to your course expiry, you will be notified to complete the required work prior to the end of the teach-out period or offered a transfer to the new version of your qualification. Your enrolment period will remain unchanged, with the same expiry date.

You may request an extension of up to three months (maximum) within 30 days of your course expiry date. An extension will be dependent on availability and/or approval, and a course extension fee is payable. However, outside of this timeframe of 30 days you will need to re-enrol and pay a re-enrolment fee (see the Additional Fee Schedule below).

If you are affected by serious illness or exceptional circumstances during your enrolment, you may apply to AAMC Training to extend your enrolment. We will only accept a written application within two months of your circumstances occurring, including supporting evidence from a medical practitioner and/or any other relevant documentation.

Course materials

Course material for all delivery methods will be provided online after confirmation of receipt of full payment of the course.

For qualification courses, completion of the LLND process and verification of USI must be provided before access to course materials is granted. Any applications for Credit Transfer must also be approved before access is granted. 

Course content is protected by copyright laws and must not be copied, transmitted to or used by any person other than the course participant.

Due to the nature of software used, industry changes, copyright laws, and to protect the integrity of our assessments, the content of our courses is only valid and available until the course enrolment expiry date or the completion of the qualification, whichever comes first. Content includes (but is not limited to), training resources and all assessment materials.

Class sizes

AAMC Training requires a minimum of six (6) students for the virtual classes. Should there be less than six (6) students enrolled, the virtual class may be cancelled, and you may transfer to an alternative virtual class date or receive a partial refund of fees, subject to the above conditions. If you choose to withdraw and have not attempted any assessments, a full refund may apply (see Refund table below).

Measures taken to protect the student’s course

Should AAMC Training be unable to continue delivering a qualification course, they will arrange for any eligible active student (i.e. someone who has not withdrawn from the course or has not completed their study) to be offered enrolment in a course leading to the same, or comparable, qualification with minimum disruption to their studies. If this option is not available then a refund of the unused portions of their paid tuition fees is required under National Vocational Education and Training Regulator Act 2011.

The above is subject to the following:

  • the course not commencing;
  • the course ceasing to be provided after it has started; or
  • the full course not being delivered because a sanction has been imposed on the provider.

When a student is relocated, the VET provider receiving the student will make no additional tuition charge for the portion of the course for which the former VET provider has received payment.

Transfers

If you are unable to commence the requested virtual class/workshop, you may transfer to another available course date. These requests must be made at least five (5) working days prior to the course commencement. You may not transfer your enrolment to another student. Online students may upgrade to virtual interactive classroom training for an additional fee. You are not permitted to transfer to a different qualification course once your selected course has commenced. 

Should you enrol into the wrong course, you will be required to pay the difference in course fee (if applicable) to transfer you. Additionally, an administration fee may also apply (see Additional Fee Schedule below).

Assessment procedures

Assessments applicable to your chosen course are varied and may include; role plays, case studies, research projects and knowledge quizzes.

Throughout the duration of the course, assessment support will be available via online queries. However, prior to lodging a query, it is expected that you will have thoroughly read your learner guide and additional resources.

All assessment uploads include a declaration that the work and evidence you are submitting is completely your own. This is a binding legal statement, so if it is found that a student has used an outside source (paid or otherwise) to either complete or over-collaborate on their assessments, this will be classified as cheating or plagiarism. 

Outcomes of assessment will be advised by AAMC Training within 10 business days of receipt of the submission. If an assessment requires resubmission, your assessor will provide feedback of further information required. All assessment communication will be via automated email and the learning portal.

You will have three (3) resubmission opportunities without charge. See the Additional Fees Schedule table below for re-assessing charges.

Priority marking

You may choose to request priority marking for your entire course or for individual assessments.

Priority marking ensures a turnaround time of up to 3 business days, for new submissions and any rework.  Should you require priority marking, contact our member support team to discuss your requirements. Please note priority marking may be limited during peak times and is in additional to your course fee (refer to the Additional Fees Schedule below).

Plagiarism/Cheating

Plagiarism is the act of copying information and research from another source and presenting it as your own work. Some examples of plagiarism and excessive collaboration may include, but are not limited to:

  • Submitting someone else’s assessment as your own
  • Submitting an author’s work without proper referencing/acknowledgement
  • Submitting work generated entirely by artificial intelligence (AI)
  • Sharing, accessing, and/or submitting study material to/from an online assessment service, paid or otherwise
  • Allowing someone else to submit your work as theirs
  • Submitting the same responses – your work should be your own and show differences, even when working with other students.

If evidence of plagiarism and/or excessive collaboration is established, you will be contacted and advised of the concerns with your submitted work and given an opportunity to respond and/or resubmit. An additional re-assessing fee may be incurred – please see the Additional Fee Schedule. If deemed a sufficiently serious breach, your enrolment may be terminated, for which all fees paid are forfeited and non-refundable. If there has been a gross breach, you may be banned from AAMC Training in the future.

You will be advised of your right to appeal in writing within 21 days of the work being disallowed. You may choose to appeal for a number of reasons including but not limited to the belief that:

  • The penalty is excessive on the facts
  • New evidence of a substantive nature is now available

Degrees of the disciplinary action that will be taken is dependent upon the severity of the breach. Penalties that may be imposed for plagiarism and excessive collaboration are:

  1. A reprimand and caution (warning)
  2. An appropriate period of suspension
  3. Exclusion of re-enrolment and receiving results
  4. Resubmission of work with possible fee of $147 per assessment
  5. Academic counselling
  6. Permanent ban from training with AAMC Training Group

AAMC Training Group reserves the right to revoke AQF qualifications or statements of attainment that it has issued in the following instances:

  • Where incorrect information has been included in its testamurs
  • Where acts of plagiarism by a student have been proven

In addition to this, it is an authentication requirement that role plays submitted as a video or which are completed with an AAMC Training Group Assessor, that you provide your official photo identification (driver’s license, Keypass ID or passport). This ensures we have evidence that you are the person who you are presenting as. Additional instructions are provided in the role play assessments.

AAMC Training’s plagiarism policy is acknowledged during the enrolment process and available on our Student Support page post enrolment.

Results and certificates

You will receive email notifications for each individual assessment result, followed by a final confirmation email once you have successfully completed your course.

For VET students, once all training product requirements have been met, AAMC Training will issue the relevant certification documentation.

Certification documentation is issued within 30 calendar days of the VET student:

  • Completing the qualification, or
  • Withdrawing after completing one or more units of competency, AND
  • Paying all agreed fees for the training product.

A verified Unique Student Identifier (USI) is required before issuance, unless an exception applies.

For qualification and accreditation courses, your official certificate and record of results can be accessed from your Learner Portal within 10 days of certification.

CPD course certificates will be available immediately under My Dashboard/My Results in CPD Rise on completion. 

Fees and charges

Any individual enrolments with course fees of over $1500 must be paid in two instalments. The first instalment of $1497 is due at enrolment, the balance is due one month after enrolment.

Payments can be made by credit/debit card or direct transfer. Please note, direct transfers may delay access to your course whilst payment is verified. All credit card transactions are processed in Australian dollars. GST is not payable on VET Qualification courses. However, GST will be charged on accreditation courses and all other services/products that may apply to qualification courses.

A full refund will be made in the event the chosen virtual interactive classes or workshops do not proceed. If the student chooses to attend another class, the fees will be transferred to that class.

If a virtual class cancellation is due to unforeseen circumstances, you may defer to a later commencement date. For refund requests, AAMC Training will only review the claims submitted in writing, clearly stating the reasons for the request. Supporting evidence will likely be required to substantiate the claim. Any claim will be considered at the sole discretion of AAMC Training and assessed fairly on their merits.

For online and RPL courses, no refund is payable by AAMC Training from the point of course commencement (enrolment payment date). The AAMC Training Group Refund Policy is available on our Student Support Resources page.

Privacy policy

AAMC Training Group is committed to complying with the:

  1. Commonwealth Privacy Act 1988,
  2. Privacy Amendment (Enhancing Privacy protection) Act 2012,
  3. Data Provision Requirements 2012,
  4. Standards for RTOs 2025,
  5. Student Identifiers Act 2014,
  6. and Australian Privacy Principles

in the way it collects, uses, secures and discloses personal information.

AAMC Training Group will not collect personal information unless that information is necessary for one or more of its functions or activities or is required by law.

AAMC Training Group will only collect personal information by fair and lawful means, which may be through the following ways:

  1. When you register your interest online, apply for enrolment, request certain services or products, or otherwise contact or do business with us
  2. Enrolment forms, certified documents, telephone calls, emails, and letters sent by you
  3. Third parties, such as other training providers, regarding confirmation of training and ongoing professional development that you have attended, as permitted by you.

Information collected may include but is not limited to:

  1. Full name
  2. Address
  3. Contact details (telephone and email)
  4. Date of birth
  5. Cultural background
  6. Country of birth
  7. Language spoken at home
  8. Disability information
  9. Highest educational attainment
  10. Other qualifications completed
  11. Study reasons
  12. Unique Student Identifier (USI)

AAMC Training Group records phone calls for training and quality purposes. If you do not wish your call to be recorded, you can advise our staff member at the beginning of the phone call.

AAMC Training Group will not use or disclose personal or sensitive information for any purpose other than what it was collected for, unless the relevant person has provided written consent to use or disclose that information in circumstances that are different to those for which it was collected.

Student records

Your record of results/VET transcripts will be available from your online USI record within six months of successful course completion.

Certificates remain accessible in your learner portal after successful course completion.

All AQF certification documentation issued to VET students will be retained by AAMC Training for a period of thirty years as per the AQF Qualifications Register Policy. Records of all assessments submitted, on the other hand, will be retained for a period of two (2) years after you have completed the training product following Compliance Requirement 10 – Records of AQF certification documentation and assessments of the Standards for RTOs 2025.

Feedback/Surveys

AAMC Training values your feedback. Upon completion of your course you will be provided with a link to complete a learner engagement survey regarding your training experience.

Complaints and appeals procedures

AAMC Training recognises the right of all VET students to express a concern or problem and/or lodge a complaint if they are dissatisfied with the training and assessment services that have been provided or the behavioural conduct of another VET student.

AAMC Training has a procedure in place for making a complaint and it will ensure that complaints are treated seriously and dealt with promptly, impartially, sensitively and confidentially. They will be resolved on an individual case basis, as they arise, within 14 calendar days of the initial filing.

AAMC Training also acknowledges that VET students have the right to appeal any decision made by the RTO, including those made by a third-party provider, that adversely affect the VET student. We ensure that VET students have access to a fair and equitable process for lodging an appeal and deal with them in a constructive and timely manner.

AAMC Training  will handle appeals ‘In-Confidence’ and will not affect or bias the progress of the participant in any current or future training. We will strive to give appeals outcomes within 60 calendar days.

Access and equity policy

AAMC Training staff and trainers are governed by codes of conduct and legislation that supports access and equity. These include, but are not limited to:

  • Providing resources and methods of delivery that can include all participants
  • Enabling all participants to attend
  • Using appropriate language and respecting cultural diversity
  • Ensuring that everyone behaves in a culturally respectful manner.

Disabilities

We respectfully request that you inform AAMC Training prior to course commencement of any special needs that you may have across all methods of study. Where training is held at a venue, AAMC Training will ensure that the venue has suitable access, facilities and amenities for all. Email [email protected] to advise your specific requirements.

AAMC Training will make reasonable adjustments to training and assessment to remove barriers to participation. Where reasonable adjustments cannot be made, clear and transparent communication will be provided to the person concerned, with alternative solutions explored.

Student wellbeing and mental health support

AAMC Training recognises that wellbeing plays a key role in student success and will proactively identify and respond to student wellbeing needs.

AAMC Training will provide information on available support services, including:

  1. External counselling and mental health services
  2. Financial assistance pathways for students at risk
  3. Wellbeing support tailored to diverse student needs, including First Nations, CALD, LBGTQ+, and neurodivergent students.

While the organisation is not responsible for ensuring that students access wellbeing services, AAMC Training will actively promote awareness and facilitate referrals where needed.

Language, literacy, numeracy and digital literacy

AAMC Training offers courses and programs that, depending on the field of study, require a comprehensive level of Language, Literacy, Numeracy, and Digital Literacy (LLND). As part of the enrolment process, an LLND assessment may be conducted to help AAMC Training identify the level of support you may require to successfully complete your course.

AAMC Training does not discriminate against students or potential students who are identified as needing LLND support. However, if additional support is required beyond the scope of what AAMC Training can reasonably provide, you may be referred to a professional organisation that specialises in LLND assistance. This process is designed to help you make an informed decision about whether to proceed with enrolment.

Digital literacy is increasingly essential for engaging with online learning platforms, accessing course materials, and completing assessments. Students are expected to have a basic level of comfort with using digital tools such as email, web browsers, and learning management systems. Support is available for those who may need assistance in developing these skills.

Bullying and harassment

Legislation is in place prohibiting any form of bullying and harassment of fellow students, trainers and other staff. AAMC Training has a zero tolerance for bullying and harassing behaviour and will exclude such persons from the training environment. Harassment or discriminatory conduct during class or when interacting with our staff will not be tolerated. This includes rude or disrespectful communication via email, phone calls, and messages.

Examples of inappropriate behaviour include but are not limited to:

  • threats
  • insults
  • abuse
  • offensive or obscene language in any form.

Harassment is:

  • when a person engages in behaviour that is unwelcome or which offends, humiliates or intimidates;
  • aggressive behaviour such as yelling;
  • any activity that disrupts the trainer’s management of the class or disrupts other students’ learning;
  • making jokes about a person’s disability, pregnancy, sexuality, age religion and/or ethnicity; spreading rumours.

Such exclusion from the course will not warrant any refund of monies or issuance of any qualification.
